How to Choose the Right Uniform Vendor: 8 Questions Before You Commit

Every vendor looks convincing at first — neat catalogs, attractive prices, on-time promises. The differences only show once production starts. These eight questions help you screen vendors before committing.

1. “Do you produce in-house or outsource?”

Vendors with their own production facilities control quality and timelines. Intermediaries don’t. Ask for proof — facility photos can be faked; an invitation to visit can’t.

2. “Can I see a finished sample before mass production?”

Serious vendors always provide physical samples. If the answer is “photos are enough,” that’s a red flag.

3. “How do you handle bulk measurement?”

For orders of hundreds to thousands of pieces, ask about the system: size charts, measurement forms, tolerances, and special size handling (big sizes, extreme heights).

4. “What happens if items are defective?”

Agree on QC standards and return/replacement mechanisms upfront — not after goods arrive.

5. “How do you keep colors consistent between batches?”

This question separates professional vendors from careless ones. A good answer mentions color code standards and production specification documentation.

6. “What’s your monthly production capacity?”

Compare against your order volume and deadline. Vendors accepting orders beyond capacity will be late — or cut quality.

7. “Do you keep my order specifications for repeat orders?”

Uniform needs always recur. Vendors who document your fabric, colors, and patterns make the next order fast and identical.

8. “Which institutional clients have you served?”

A portfolio of school, corporate, or government clients at comparable volume is the strongest proof — complete with contactable references.
